Wing E-mail

Q. I would like to access my Ohio Wing e-mail on my Blackberry, iPhone, or other smartphone; how can I do that?

Q. Can I use my existing email address with Google Apps?
A. Not directly. You may opt to have information sent to your Ohio Wing email account forwarded to any other email address, or you may configure your other email client to access your Ohio Wing email using IMAP or POP. Existing AIM/AOL, Gmail, Hotmail/MSN, and Yahoo users have the following options:
  • AIM/AOL:
    • Cannot be configured to fetch & check mail from OHWG account.
    • Cannot be configured to send mail from OHWG account.
    • OHWG account can be configured to fetch & check mail from AOL/AIM.
  • Gmail:
    • Can be configured to fetch & check mail from OHWG account via POP3 & IMAP.
    • Can be configured to send mail from OHWG account.
    • OHWG account can be configured to fetch & check mail from Gmail via POP3 & IMAP.
  • Hotmail/MSN:
    • Can be configured to fetch & check mail from OHWG account.
    • Can be configured to send mail from OHWG account.
    • OHWG account can be configured to fetch & check mail from Hotmail.
  • Yahoo:
    • Can be configured to fetch & check mail from OHWG account via POP3.
    • Cannot be configured to send mail from OHWG account.
    • OHWG account cannot retrieve mail from Yahoo.

Q. What are the POP/SMTP settings for accessing my Ohio Wing e-mail via Outlook, Outlook Express, Mail, Thunderbird, etc?
A. After enabling POP access in your Ohio Wing e-mail account, here are the general settings that you will need:
  • Incoming mail server: 
    • pop.gmail.com
    • Use SSL: Yes
    • Port: 995
  • Outgoing mail server:
    • smtp.gmail.com
    • Use Authentication: Yes
    • Port for TLS: 587
    • Port for SSL: 465
  • Account name: firstname.lastname@ohwg.cap.gov
  • E-mail address: firstname.lastname@ohwg.cap.gov
  • Password: Your password, case sensitive. 

Q. What are the IMAP settings for accessing my Ohio Wing e-mail via Outlook, Outlook Express, Mail, Thunderbird, etc?
A. After enabling IMAP access in your Ohio Wing e-mail account, here are the general settings that you will need:
  • Incoming mail server: 
    • imap.gmail.com
    • Use SSL: Yes
    • Port: 993
  • Outgoing mail server:
    • smtp.gmail.com
    • Use Authentication: Yes
    • Use STARTTLS or SSL: Yes
    • Port: 465 or 587
  • Account name: firstname.lastname@ohwg.cap.gov
  • E-mail address: firstname.lastname@ohwg.cap.gov
  • Password: Your password, case sensitive. 

Q. Can I import my contacts and e-mail from my existing account into my Ohio Wing account?
A. If your current e-mail account supports exporting your contacts as a CSV file, you can import the contact by following Google's steps on Importing CSV files. Importing your e-mail from an account that supports IMAP is easy: simply configure your e-mail client (Outlook, Thunderbird, etc) for both your existing account and your Ohio Wing account and drag-and-drop the e-mails. Importing from other web-based e-mail accounts is not supported. 

Q. What are the acceptable uses for the Ohio Wing e-mail account?
A. The Ohio Wing e-mail account should be used for all CAP business. While personal use of the account is in no way discouraged, the account is the property of the Ohio Wing, Civil Air Patrol and is considered a business asset. Members will not use their accounts in any way that brings discredit upon the Civil Air Patrol or the United States Government or in any for-profit business enterprise. Once the member leaves CAP or the Ohio Wing, the account will be deleted, so any personal use is at the discretion of the member. Ohio Wing does not monitor the usage of the account, but all members are subject to Google's acceptable use policy. Members found to be in violation of these terms will have their account suspended immediately.

Q. I used to be able to be logged into both my personal Gmail account and my Wing e-mail account at the same time, but am no longer able to do so. What can I do to fix that?
A. With the recent upgrade to the Wing's Google Apps system, Google changed how someone can be logged into two accounts at once. To enable the new feature that allows you to log in to multiple accounts, please visit Google's Help Page on the topic.

Q. How can I forward my Wing e-mail to another account?
A. To forward your e-mail, follow these steps:
  1. Log into your account at mail.ohwg.cap.gov
  2. On the upper right-hand side, look for the "Settings" link and click it. 
  3. After clicking on the "Forwarding and POP/IMAP" tab of the settings page, click the radio button next to "Forward a copy of incoming mail to" and enter the address you wish to forward your mail onto in the on the same line. 
  4. At the end of the "Forward a copy..." line, there is a drop-down list that allows you to select how Google handles the e-mail when it arrives; you may opt to keep a copy of the message in the Google inbox, archive a copy of the message in the Google mailbox, or delete the copy after it has been forwarded - the choice is yours. 
  5. Once you have set the forwarding option and the the e-mail address to forward to, Google will require that you verify the change; you will receive an e-mail in the account you are forwarding to which includes a verification code. Enter that code into Google and click the "Save Changes" at the bottom of the page to enable forwarding.

Q. How can I send e-mail from my alias rather than the username automatically assigned to me by Wing IT?
A. In order to send email from the alias (so the recipient sees your alias username rather than the one automatically assigned to you), follow these steps:
  1. Log into your Ohio Wing e-mail account.
  2. Click "Settings" in the upper-right hand corner.
  3. Click "Accounts"
  4. Click "Add another email address you own."
  5. Type the email address you would like to send mail from (i.e. your alias in the form of alias.name@ohwg.cap.gov)
  6. Click "Next" and "Send Verification"
  7. Your should receive a confirmation email from Google. Click the verification link in the e-mail.
  8. To set your alias.name@ohwg.cap.gov as your default send-from address, return to the "Accounts" page as above and click "make default" for the address of your choice.

Q. How can I easily send a message to everybody in my squadron?
A. Squadron commanders (or appointed representatives) may apply for group ownership. Group 'owners' may send messages only from their Ohio Wing email address by addressing it to oh###@ohwg.cap.gov. Keep in mind that messages are only sent to Ohio Wing accounts. In order for squadrons to effectively utilize this method of communication squadron commanders must ensure members check their wing email regularly and/or have set up forwarding. Messages will not automatically be forwarded to member addresses listed in eServices.

Q. Is there a Wing-wide e-mail distribution list? How do I become a member?
A. All Ohio Wing accounts are automatically included in the Wing distribution list. External commercial accounts (ie. Hotmail, Yahoo, etc) will no longer be added to the wing email list. If you would like wing communications to be sent to your commercial account, set up email forwarding as described above.

Q. My unit has a domain name and would like to utilize our domain name for e-mail; can Wing E-mail support this?
A. Yes, it is possible to associate FirstName.LastName@YourDomainName.com with your corresponding ohwg.cap.gov Wing E-mail account. Please submit a help request and the Wing IT team will evaluate the request to determine if the request can be fulfilled with the existing infrastructure.
